Important Information for Receiving Schools/Programs
Returning Users—
If you are a returning user, you still have an account on VirtualEvals using the same login you used last year. However, for security purposes, all passwords from the 2007 cycle have been purged.
To activate your account for the new cycle, please go to the VE homepage http://www.virtualevals.org, click on the login box on the right and enter your login from last year. Then click on “Help, I cannot remember my password.” A message will be sent to the email address that you designated last year. The message will contain a link that you can go to in order to set your password. You should then be able to log into VirtualEvals using your login and that password. We ask that for security purposes you not use the same password that you used last year.
New Users—
Note: We recently used US mail to send the authorization code referred to below to your institution–due to security concerns, we don’t email that code. If you are ready to create your user account and have not received the code, please email help@virtualevals.org and we will phone you with the code.
For those of you who are new to VirtualEvals, click on log in box at the right. You will be presented with the login screen. Click on the statement, “I have received an authorization code and would like to create my VE account. “
You will be led through the steps to set up your account.Please guard the confidentiality of this code. You will need to share the authorization code with other users at your institution who need to set up an account to use VE; do not email the authorization code to anyone. We strongly recommend that each user have her/his own account rather than having an institutional account for which people share the login and password.Once we get most people registered for the 2008 cycle, we will change the code and then it will be changed periodically after that. So if you have a new user in your office later in the cycle, you may need to contact us to get the authorization code that is functioning at that time.All—
There are several options open to receiving schools this year.
- You may choose to receive an email whenever a PDF of letters for an applicant to your school is posted. You can then go into the VirtualEvals system and download any new PDF’s individually and either print them or save them to your own electronic system. This year individual users will be able to set whether or not you want to receive an email and you can change that during the course of the year.
- You may choose to go into the VirtualEvals system on your own schedule, e.g., once or twice a day, every other day, to download new PDF’s individually and either print them or save them to your own electronic system.
- You may choose to download multiple PDF’s at a time using the application program interface (API) which has been undergone several improvements/enhancements this year. We believe that more schools will be interested in this option for the 2008 cycle, and we will go over it in the webcast we will host soon. Note: the API will not be ready to use until the week of June 25.
- If it is your practice to print the PDF’s, you may choose to download multiple PDF’s at a time and then batch print them. We will provide instructions for batch printing (this will be available soon).
Finally, we will once again host a webcast to walk you through the system. We want to go over how to use the site with new users. But we also want to review the enhancements and features of the site with those who used VirtualEvals last year as well. As soon as we have scheduled the webcast, we will let you know when it is. And we will archive the webcast in case you cannot attend the live webcast.If you have any questions at any time, please address them to help@virtualevals.org.
