VirtualEvals Billing 2009

In the 2008 application cycle, we used Google Checkout as the means for using a credit card to pay access fees and applicant record fees to NAAHP for the services of VirtualEvals. Google checkout was efficient and much easier for NAAHP staff than processing checks or phoned in credit card info. We are continuing to use Google checkout. (Scroll down for info on paying by check.) Here are some features and options you will have:

  • You can pay by credit card (institutional or personal).
  • You can choose to pay upfront only the $100 access fee and be billed later for the applicant records.
  • You can choose to pay upfront the $100 access fee and the charge for an estimated number of applicant records.
  • If you overpay this year, we will credit your payment to next year’s cycle.
  • If you overpaid for the 2008 cycle by less than $100, we will issue a Google coupon which will credit your 2009 account with the amount by which you overpaid for 2008. (Note: if you overpaid in 2008 by more than $100 we have let you know that we already applied that credit to 2009)
  • When you use Google Checkout, you will immediately receive a printable email invoice for your records.

We will send invoices in mid November 2008 to cover the applicant records that have been posted by that date. The due date for that payment will be in mid December 2008. The last date to post a PDF on VirtualEvals for the 2009 cycle will be at the end of March 2009. We will run our final report and send the final invoices in April 2009. Payment will be due before you can register for the 2010 application cycle in May 2009.

If you used Google Checkout for the 2008 cycle, you will already have an account.
You will also see a screen to create a Google account for using Google checkout if you do not have one. There is no charge for this account and the information is highly secure.

Please note that if you already use Google for email or other functions, you will get a sign in screen requesting your Google login and password. If your Google account is a personal one, you may want to click on “sign in as a different user” to use or create a separate Google account for this purpose–particularly if you are using an institutional credit card.

When you create a Google account, there are two address lines. Please include your institution name in one of them.

Finally, as great as Google is, sometimes it’s not as flexible as I’d like. Your receipt will say “your order has been shipped” which of course is a euphemism for “your payment is complete and when we open VE you will be able to access it.”

You will receive an emailed (printable) receipt from Google Checkout.
If you prefer to pay by check, you may do that through NAAHP.
Your check should include $100 for the annual access fee for using VirtualEvals. You may also choose to prepay for a number of applicant records (to be decided by you) at the time of registration and payment of the access fee. Each applicant record is $10. If you need an invoice, please send an email to help@virtualevals.org and tell us if you wish to pay only the $100 annual access fee at this time or if you wish to prepay for applicant records, how many. We will generate a printable invoice for you. Please note that we use a Google tool for sending invoices even when you are paying by check. The email with the printable invoice will come from “Google Checkout” and the subject line will be “Payment Request from NAAHP/VE.”Please send the check made out to NAAHP to this address:

You will receive a receipt from NAAHP. If your business office is handling the check, please follow up with them to make sure they send it to NAAHP. We cannot activate your institutional account for the new cycle until the access fee is received.

Please note that NAAHP cannot accept institutional purchase orders.
